Registration

What are the registration terms and conditions and cancellation policy?

Please refer to the SAP Concur Fusion 2025 In-Person Experience Registrant Terms and Conditions.

If I register for the in-person experience, am I automatically registered for the virtual experience too?

Yes, your registration for the in-person experience automatically includes access to the virtual experience and on-demand content.

Can I switch my virtual event registration to an in-person event registration?
Yes, please email sapconcur_events@sap.com to get assistance on transferring your registration and providing payment for the in-person registration.
Is there a group discount package for registration? How do I apply it?

We are offering a special group discount (buy 4, get 25% off). Read about the details in the group discount policy. If you are interested in using this discount, select the “Group Package" option during the registration checkout process. Please note: you will be asked to pay for the three registrations in full in order to proceed. Once you have completed your registration, you will be sent further instructions in your confirmation email on how to register the remaining three registrants to fulfill your discount. If you have any questions about this process or require assistance, please contact sapconcur_events@sap.com.

I already registered as an individual but would like to change to a group package. How do I do that?

You may switch to the group rate by emailing sapconcur_events@sap.com with your request. Note: A USD $50 service fee will be charged for each individual for switching from an individual registration to a group registration later.

Is there an additional discount for 5+ attendees?
No. The group discount policy maxes out at 4. If you have more than 4 attendees coming to Fusion, additional attendees would register individually.

For example, if you have 5, 6, or 7 people coming to Fusion, you would do 1 group package, plus the appropriate amount of individual registrations outside of the group. If you have 8 attendees, you can create 2 separate groups.
Can I bring a guest to the Final Night Party?
Yes. Guests 21+ are welcome to accompany you to the Final Night Party. You can indicate which networking events you will be bringing an additional guest to during registration. Additional guest fees are below:
  • Welcome Reception - $100 USD
  • Fusion Pavilion Happy Hour - $100 USD
  • Final Night Party - $200 USD

Lodging

Is there a hotel block?

Yes, we have partnered with seven (7) hotels in downtown Seattle, within walking distance to the Seattle Convention Center | Summit, to ensure that our attendees receive exclusive hotel rates while attending SAP Concur Fusion. Nightly rates range between $169-259 a night + taxes and fees (see below). Attendees will receive a link to book in the official hotel block in the registration confirmation email.

How do I make changes to my hotel reservation or cancel my room?

If you made a hotel reservation during registration, you will receive a hotel email confirmation. Please keep your hotel confirmation email for future reference. To make changes to an existing reservation, please contact the hotel directly. Cancellations made within 72 hours of arrival will forfeit one night’s room and taxes. SAP is not responsible for any hotel no-show penalty.

Will I be charged a deposit for my hotel reservation?

A credit card is required at the time of booking and a deposit for the first night will be charged. The remaining nights of your reservation will be charged to your credit card on file at check-in. Cancellations must be made at least 72 hours prior to your arrival date to receive a full refund of the first night deposit.

Sessions and presentations

What is a consulting session and how do I sign up?

Consulting Sessions are opportunities to meet with an SAP Concur specialist to discuss questions about your existing system, specific to one topic (Expense, Invoice, Travel, or Reporting). SAP Concur customers can schedule two Consulting Sessions per organization on a first-come, first-served basis. Multiple people from your organization may attend an individual session together.

Attendees can indicate interest in scheduling a consulting session during registration. Our team will follow up closer to the event to schedule your session onsite.

Where can I find session details?
The session catalog will be published in early December.
Will CPE credits be offered?
Yes, sessions offered at Fusion are eligible for CPE credits.
How do I become a customer or partner speaker?

If you, or someone you know, would like to be considered to speak at the event, please submit this call for speakers form by November 29.

Will session presentations be available to download after the event?
Yes, links to download the session presentations will be emailed to all attendees after the event concludes.

On-site experience

Will there be an event mobile app I should download?
Yes. The event mobile app will be available for iOS and Android. Download instructions will be coming in early March 2025.
What meals are provided at the conference?

Tuesday, March 18: Lunch; heavy appetizers / drinks (at the Happy Hour)
Wednesday, March 19: Breakfast; lunch; heavy appetizers / drinks (at the Happy Hour)
Thursday, March 20: Breakfast; lunch; dinner (Final Night Party)
**Meals are not provided on Monday, March 17 (pre-conference day)

What is the recommended attire for the conference?

Business casual attire is suggested for all conference functions, with the exception of the Final Night Party on March 20, which is casual attire.

Virtual Experience FAQs

Is the virtual experience free?

Yes, the virtual event is offered at no cost to all attendees. If you have already registered for the in-person experience, you will automatically have access to the virtual experience (and the on-demand content) too.

I’m registered for the virtual experience. Can I still sign up for a complimentary consulting session?

Unfortunately, complimentary consulting sessions are only available for attendees registered for our in-person Fusion experience in Seattle.

How do I access the on demand content after the event? When does it expire?
You will receive a link to access the virtual experience in your registration confirmation email. Additional communication will also be sent closer to March 20, 2025. If you've registered for the in-person event in Seattle, WA, you will receive instructions to access the full on-demand experience following the event.
Who should I contact if I have technical difficulties during the virtual experience?
