What are the registration terms & conditions and cancellation policy?

If I register for the in-person experience, am I automatically registered for the virtual experience too?

Yes, your registration for the in-person experience automatically includes access to the virtual experience and on-demand content.

Can I switch my virtual event registration to an in-person event registration?
Yes, please email concurfusion@sapevents.com to get assistance on transferring your registration and providing payment for the in-person registration.
Is there a group discount package for registration? How do I apply it?

We are offering a special group discount (buy 3, get 1 free) Read about the details in the group discount policy. If you are interested in using this discount, select the “Buy 3 get 1 free group discount” option during the registration process. Please note: you will be asked to pay for the three registrations in full in order to proceed. Once you have completed your registration, you will be sent further instructions in your confirmation email on how to register the remaining three registrants to fulfill your discount. If you have any questions about this process or require assistance, please contact concurfusion@sapevents.com.

I already registered as an individual but would like to change to the buy-3-get-1-free group rate. How do I do that?

You may switch to the group rate by emailing concurfusion@sapevents.com with your request. Note: A USD $50 service fee will be charged for each individual for switching from an individual registration to a group registration later.

Can I combine multiple promo codes for my registration?
Promotional discount codes can’t be combined with any other promotional discount codes. Promotional discounts are only available and valid to registrations purchased during the promo offer dates.
What hotels are part of the Fusion hotel block, and what are their nightly rates?
We have 11 hotel blocks reserved that attendees will be able to choose from, with nightly rates ranging from $184-$294 + taxes/fees. All of these hotels are within walking distance to the George R Brown Convention Center, where Fusion will take place. The list of hotels and their respective nightly rates are below. Once you complete your registration, the Fusion hotel booking link will be located on the registration confirmation page and sent to you in your confirmation email. The hotel booking link includes the most up-to-date information on availability, distance to the venue, and a map view.
How do I make changes to my hotel reservation or cancel my room?

If you made a hotel reservation during registration, you will receive a hotel email confirmation. Please keep your hotel confirmation email for future reference. To make changes to an existing reservation, please contact the hotel directly. Cancellations made within 72 hours of arrival will forfeit one night’s room and taxes. SAP is not responsible for any hotel no-show penalty.

I missed the "Know Before You Go" webinar for attendees on February 21. Where can I find the recording?
You can access the recording through the "Know Before You Go" reminder email you should have received on February 21 (click the "join" button in the email). You can also email us at sapconcur_events@sap.com to request the recording link.
Will I be charged a deposit for my hotel reservation?

All reservations require a credit card at the time of booking, although a deposit is not collected. Cancellations must be made at least three (3) business days prior to your arrival date to avoid a cancellation fee of one night’s room and tax. This will be disclosed when making your hotel reservation.

What is a consulting session and how do I sign up?

Consulting Sessions are opportunities to meet with an SAP Concur specialist to discuss questions about your existing system, specific to one topic (Expense, Invoice, Travel, or Reporting). SAP Concur customers can schedule two Consulting Sessions per organization on a first-come, first-served basis. Multiple people from your organization may attend an individual session together.

Attendees can sign up for a Consulting Session during the Fusion registration process and will receive an email closer to the event to sign up for a time slot. If you didn't sign up for a Consulting Session during the registration process and you would like to sign up for one, please request it by logging into your Fusion registration account. OR, you may sign up as a walk-in appointment onsite in Grand Ballroom A/B at the George R. Brown Convention Center.

If you have any questions regarding consulting sessions or already registered and need help to sign up for a session, please contact sapconcur_events@sap.com. Note: Consulting sessions do not occur during keynotes and meals. You will need to miss an education session to attend a consulting session.

What is usability testing and how can I sign up?
Customer attendees are invited to participate in a 60-minute Usability Testing Session. During a usability testing session, you will get a first look at upcoming new features and enhancements we are planning to release in the future and have an opportunity to provide input and feedback. You will be asked to complete a series of tasks on a screen while a researcher observes and asks questions along the way. This research will inform future product changes. There is no preparation needed beforehand, besides signing an online NDA formUsability testing sessions are located in Grand Ballroom C of the George R. Brown Convention Center.

Pre-event sign-ups are required. Unfortunately, walk-in appointments will not be available. We still have a few spots remaining - sign up today! Note: The usability testing time slots occur outside of educational breakout sessions and keynotes.
Where can I find session details?
How do I customize my personal agenda? Is session pre-registration required?
Our Agenda Builder is now available in the Session Catalog to help you plan and set aside time for the options most suited to you, your field of expertise, and your business. Login to the agenda builder site with your Fusion registration credentials. Note: the online Agenda Builder syncs with the event mobile app personal agenda (please allow 15 minutes to sync).

Pre-registration for sessions is required. However, in the event that you forget to register or have a last minute change and did not have a chance to register, you will not be turned away from a session.
Is there an event mobile app I should download?
Yes! The event mobile app is available for iOS and Android.
1) Search for “SAP Concur Events” in the app store.
2) Once downloaded, open the app and select “SAP Concur Fusion 2023”.
3) Login with the email and password you used for Fusion registration (or reset your password directly in the app).
Note: If you have previously downloaded the app, please update it directly in the app store OR delete & re-install it.
Will continuing education credits (CPE) be available to attendees?

Yes, we are offering CPE credits for select Fusion sessions (only available for in-person sessions). Click the link below to see details and requirements about earning CPE credit while attending Fusion sessions.

How do I become a customer or partner speaker for Fusion 2023?

Our Call for Speakers form closed on December 2. Please contact concur_eventcontent@sap.com if you have any questions.

Is there shuttle transportation available?
To and from the hotels and the George R. Brown Convention Center: All hotels within the Fusion hotel blocks are within walking distance to the George R. Brown Convention Center. However, we will be providing shuttle service from the LeMeridien, JW Marriot, and Magnolia Hotel due to the longer walking distance. Shuttle service will loop every 20-30 minutes from these three hotels to the George R Brown Convention Center, except from 12:00-1:00pm. Please see the event mobile app for more details.

To and from the George R. Brown Convention Center and the Final Night Party at Stampede: Shuttle service will be provided to the Final Night Party at Stampede. Departing shuttles will run from 5:30pm until 7:30pm from the Marriott Marquis Houston's bus loading area on Crawford Street to the Final Night Party at Stampede Houston. Returning shuttles will depart from the entrance of Stampede Houston starting at 8:30pm. Shuttles will run until the close of the event at 10:00pm. More details can be found in the event mobile app.
What meals are provided at the conference?

Tuesday, February 28: Lunch; heavy appetizers / drinks (at the Welcome Reception)
Wednesday, March 1: Breakfast; lunch; heavy appetizers / drinks (at the Expo Happy Hour)
Thursday, March 2: Breakfast; lunch; dinner (Final Night Party)
**Meals are not provided on Monday, February 27 (pre-conference day)

What is the recommended attire for the conference?

Business casual attire is suggested for all conference functions, with the exception of the Final Night Party on March 2, which is casual attire.

What are the health and safety precautions for the conference?
SAP Concur is committed to the health and safety of all those invited to participate in the event. At this time, SAP Concur Fusion attendees are not required to show proof of vaccination or wear a face mask while onsite. Revisions of this information may be made to align with updated guidance from the Centers for Disease Control (CDC), federal, state, or local government

Virtual Experience FAQs

Is the virtual experience free?

Yes, the virtual event is offered at no cost to all attendees. If you have already registered for the in-person experience, you will automatically have access to the virtual experience (and the on-demand content) too.

How do I see the session details?

The breakout session details are available in the virtual agenda.

What sessions will be virtually available from the in-person experience?

Select sessions from each track of the in-person experience will be available virtually. The virtual experience will also feature ask-the-experts sessions so attendees can get their questions answered in real-time, as well as a spotlight session featuring an SAP Concur user discussing their journey.

How can I build my virtual experience agenda?

The agenda builder for the virtual experience will be available in February - from the agenda builder you can add selected sessions to your calendar directly.

I’m registered for the virtual experience. Can I still sign up for a complimentary consulting session?

Unfortunately, complimentary consulting sessions are only available for attendees registered for our in-person Fusion experience in Houston, TX.

How do I access the on demand content after the event? When does it expire?
Sessions will be available to watch on demand as soon as 30 minutes after the live session concludes on the same day. If you join the event later in the day, you will still be able to watch the sessions that launched earlier in the day (you won’t have to wait until the event concludes). All event registrants will receive an email after the event which includes a link to rewatch sessions. You will be directed back into the event virtual environment to explore at your own pace. Access to on demand content will expire a few weeks after the event.
What platform will be used for the virtual experience? Who should I contact if I have technical difficulties during the virtual experience?

The virtual experience is hosted on the ON24 platform. Please contact sapconcur_events@sap.com if you run into any technical difficulties.
